Managing recurring jobs



When you create and schedule a job you can set a recurrence down the bottom of the page. If you turn this feature on, the recurrence engine predicts the most likely recurrence, based on the start date – weekly, fortnightly, four-weekly or monthly. If none of these suit you, click "Custom' to create your own daily, weekly, monthly or yearly recurrence. The recurring job will be set to never end unless you specify an end date or for the job series to end after a number of visits.

Changing to a new tech 

  1. Find the recurring job you want to reassign to a different technician in the Day view of the Calendar or the At a glance view.

  2. Drag the job to the schedule of the receiving tech for whom you want to reassign the recurring job. You’ll be asked if you want to reassign just that visit or all the jobs in the series. Select the option "This and the following jobs" if you want to reassign the whole series. Otherwise, click on the "This job" option if only that specific visit will be reassigned. 


Another way to change the assigned technician is by opening the whole recurrence series. The steps are below: 


1. Find the recurrence in the calendar view or the Recurrence Dashboard.

2. Open the recurrence and change the technician within the Job details field. 



3. Click on the Save button found at the top-right corner of the page or the Save button at the bottom. 



Changing to a different day 

  1. Find the recurring job in the week or month view of the calendar or the At a glance view. Drag the job block to a different day You’ll be asked if you want to reassign just that visit or all the jobs in the series - select this and following jobs: All jobs in the series scheduled to occur after the job you have dragged will now happen on the new day.


Changing the frequency of a recurring job 

  1. Find and open the job from the Recurrence dashboard 
  2. To change the frequency for all jobs in the series click Yes on the dialogue box that appears - to change the frequency from a specific date (eg increasing the frequency of a service during summer months) click “Following jobs from selected date” then Yes
  3. Select one of the suggested recurrence patterns or select Custom to define your own 
  4. Click the Save button 
  5. You will be taken back to the Recurrence Dashboard - click the refresh button to ensure you see the changes reflected in the list



How to Change the contact for a recurrence


To change a contact for a recurring job, you would need to link the contact to the pool first by following the Link a contact to a pool guide. Once you have linked the pool and the contact, you can change the contact for a recurrence by following the steps below: 


1. Open the recurring job through the Recurrence Dashboard.



You can also click on any of the jobs that are part of the series and click on Edit job series.



2. In the Job details field click on the drop-down for Change Contact and select the new contact you have linked to the pool. 


3. Click on Save.
