Invoicing

Overview

The invoicing section shows all the invoices generated in the system, as well as invoices ready to batch.


Invoices

This section is a list view of all the invoices generated in the system.


Filtering the list

You can filter the invoice list by

  • Search
  • Status
  • Contact tags
  • Date range
  • Custom Filters


Adjusting the view

Use the Columns button to adjust the columns you want shown on the page. You can also sort, and pin columns by hovering over a specific column and clicking the 3 dots.


Actions

You can export the list of invoices by clicking the export button at the top of the page. 


You can also bulk mark invoices as paid, using the checkbox in the main header, or select individual invoices using the checkboxes on the left hand side.


On the right hand side of the page, the actions column enables you to

  • Print invoices / job sheets and mark them as sent - typically used when a customer does not have an email address and you need to post the invoice
  • Mark invoice as entered - only used when you have no integrations and are manually entering invoice information into a 3rd party system
  • Mark invoice as paid / unpaid - only used when you do not have an integration that updates the payment status
  • Email - resend the invoice / job sheet to the customer, or another contact


Batch queue

The list view shows you all the customers that have been marked as batch, with a backlog of batch invoices. 


Filtering the list

You can filter the invoice list by

  • Search
  • Contact tags


Creating a batch invoice

To create a batch invoice

  1. Select the customer you want to batch invoices for
  2. Select the invoices you wish to batch, or select all invoices using the checkbox in the header
  3. Click Preview
  4. Review the batch invoice information
  5. Click Actions and then Send, or Mark as invoiced*.


*TIP: Mark as invoiced is only used if you need to print the invoice, or it is being sent by an integrated 3rd party platform.
